Answer a HubSpot form submission by email

Someone fills in your form and gets a written reply from a real address inside a minute, with the details they typed repeated back to them.

Trigger: New form submission
Action: Send an email

How this flow works

Syncline watches HubSpot for New form submission. When that happens it runs Send an email in Gmail with the fields you mapped.

  1. Connect the portal and choose the single form this flow answers.
  2. Connect the Gmail address the reply should come from.
  3. Write the template once and drop the form fields into it where they read naturally.
  4. Submit the form yourself, read the mail, then turn the flow on.

Field mapping

From HubSpotTo GmailNote
EmailToThe address on the submission is the recipient, and a malformed one is reported rather than sent to.
First nameBodyThe greeting uses the given name and falls back to a neutral opener when the field is empty.
OwnerBodyThe assigned rep name and direct line are written into the signature, so the reply has a person behind it.
CompanySubjectThe subject names the company, which keeps the thread findable months after the enquiry.

Why teams run it

  • First replies arrive in a minute, not the next morning
  • The mail comes from a person, so replies start a real thread
  • Every enquiry is answered even on a busy Friday

Who uses it

A marketing manager whose demo requests used to sit unanswered over a weekend.

About the two apps

HubSpot

HubSpot is the record of who your customers are and how far along they got. Syncline feeds it from the places leads actually arrive, and pushes deal changes back out to the team.

All HubSpot flows

Gmail

Plenty of work still arrives as an email and stays there. Syncline turns matching messages into records in your other apps, and sends mail back out when something changes.

Questions

Is this different from a HubSpot workflow email?
It sends from your ordinary mailbox, so it lands in the primary tab and the reply comes back into your inbox as a normal conversation.
Can different forms send different templates?
Yes, one flow per form. Teams usually keep a short template for demo requests and a longer one for pricing enquiries.
