Syncline

Log Gmail replies on the HubSpot contact timeline

When a customer answers a thread you are tracking, their reply is written onto the contact record, so the whole exchange sits in one place.

Trigger: New reply in a thread
Action: Log an activity
About 9 minutes to set up

How this flow works

Syncline watches Gmail for New reply in a thread. When that happens it runs Log an activity in HubSpot with the fields you mapped.

  1. Connect the mailbox and tell the flow which threads count, usually by label or by recipient alias.
  2. Connect the HubSpot portal and approve the contacts and timeline scopes.
  3. Map the sender address onto the contact match so the note lands on the right person.
  4. Reply to one test thread, open the timeline in HubSpot, then switch the flow on.

Field mapping

From GmailTo HubSpotNote
FromEmailThe sender address is the match key, so the note lands on the existing contact rather than making a new one.
FromFirst nameThe display name is split and the given name filled in only when the contact is brand new.
ToOwnerThe alias that received the reply decides which rep owns the activity, matched by address.
SubjectCompanyWhere your subjects carry an account code, Syncline reads it and attaches the note to that company.

Why teams run it

  • The CRM shows what the customer actually said
  • Reps stop pasting email into the notes field
  • A reply reopens a stalled deal instead of being missed

Who uses it

A sales operations lead who audits pipeline hygiene and is tired of empty timelines.

About the two apps

Gmail

Plenty of work still arrives as an email and stays there. Syncline turns matching messages into records in your other apps, and sends mail back out when something changes.

All Gmail flows

HubSpot

HubSpot is the record of who your customers are and how far along they got. Syncline feeds it from the places leads actually arrive, and pushes deal changes back out to the team.

Questions

Does the full body get logged?
Yes, with the quoted history stripped so the timeline reads as one message rather than an ever growing chain.
What about internal replies from my own team?
Filter them out by domain on the flow. Most teams log only external addresses, which keeps the timeline about the customer.
