File Gmail attachments as Airtable rows

Invoices, signed contracts and delivery notes that arrive by email become rows with the file attached and the sender recorded, dated the day they landed.

Trigger: New attachment received
Action: Upload an attachment
About 7 minutes to set up

How this flow works

Syncline watches Gmail for New attachment received. When that happens it runs Upload an attachment in Airtable with the fields you mapped.

  1. Connect the mailbox and narrow the trigger to the senders or labels that matter.
  2. Connect the Airtable base and choose a table with an attachment field.
  3. Map the file onto that field and the subject onto the row name.
  4. Forward one document to yourself, check the row, then leave it running.

Field mapping

From GmailTo AirtableNote
AttachmentAttachmentsFiles up to twenty five megabytes travel as files. Anything larger arrives as a link with the reason in the run history.
SubjectNameThe subject becomes the row name, which is usually the invoice number your supplier already put there.
FromStatusA sender on your supplier list writes the status straight to Received, and anything else lands in Needs review.
ToOwnerThe alias the document was sent to decides which base collaborator owns the row.

Why teams run it

  • Month end is a filtered view rather than an inbox search
  • The file and its metadata stay together permanently
  • Unknown senders are flagged instead of quietly filed

Who uses it

A finance assistant who reconciles supplier invoices and wants them in a base, not in a mailbox.

About the two apps

Gmail

Plenty of work still arrives as an email and stays there. Syncline turns matching messages into records in your other apps, and sends mail back out when something changes.

All Gmail flows

Airtable

Airtable is where teams build the tracker no off-the-shelf tool provides. Syncline keeps that base fed from your other apps and sends its rows onward when something changes.

Questions

What if one email has four attachments?
You choose: one row per file, or one row with all four in the attachment field. Most finance teams pick one row per file so each can be marked paid.
Are inline images treated as attachments?
No, signature logos and inline images are skipped by default. Turn that off on the flow if you genuinely need every embedded file.
