Syncline

Email the file attached to a new Airtable row

A row that arrives carrying a document sends it straight out from your own address, with the record name in the subject and no download step in between.

Trigger: New record with an attachment
Action: Send an email
About 6 minutes to set up

How this flow works

Syncline watches Airtable for New record with an attachment. When that happens it runs Send an email in Gmail with the fields you mapped.

  1. Connect the base and choose the table plus the attachment field to watch.
  2. Connect the Gmail account the file should be sent from.
  3. Write the covering message and map the recipient from the row.
  4. Add one test row with a small file, read the mail, then enable the flow.

Field mapping

From AirtableTo GmailNote
AttachmentsAttachmentThe file is attached to the message, up to twenty five megabytes. Anything bigger goes as a link with a note in the history.
NameSubjectThe record name becomes the subject, so the recipient sees what the file is before opening it.
OwnerToThe collaborator named on the row receives it, matched by the email address on their Airtable account.
StatusBodyThe row status is written into the template, which is how a reader knows whether this is a draft or a final copy.

Why teams run it

  • Documents leave the base without a download and a re-upload
  • The message comes from your address, with your signature
  • Every send is logged against the row that produced it

Who uses it

A contracts coordinator who sends signed copies back to the person named on each row.

About the two apps

Airtable

Airtable is where teams build the tracker no off-the-shelf tool provides. Syncline keeps that base fed from your other apps and sends its rows onward when something changes.

All Airtable flows

Gmail

Plenty of work still arrives as an email and stays there. Syncline turns matching messages into records in your other apps, and sends mail back out when something changes.

Questions

Can I send to an address stored in a text field?
Yes. Map any text field holding an email onto the recipient. The collaborator field is only the default because most bases already have one.
What if a row has three files?
All three are attached to one message when they fit inside the limit. Over the limit, the largest go as links and the history lists which ones did.
